Conscious Healing has a zero-tolerance policy for violence, weapons, or drugs/alcohol on Conscious Healing property. Any violations may result in removal from the property or discontinuation of services.
Policy updates: Policies are reviewed regularly and updated as needed. The most updated version of our policies are available on our website.
For current clients: Clients will be alerted to substantiative policy changes in group or individual sessions and updated policy packets will be made available in your client portal. Revisions made to our policies to provide clarity or for grammatical edits will be provided via the client portal with a note signifying the date of the revision. Please check your portal regularly for updates

The Client Portal is here for your convenience! In your client portal, you can check in for your assessment and complete your new client paperwork. You will have access to your upcoming appointments, documents to review and/or sign, treatment plans, requested letters, drug screen results, policies, handbooks, and anything else that you may need. At the time your assessment is scheduled, you will receive an email to access your client portal. Use the document linked below to assist in accessing your portal for the first time.
Starting any new process can cause some nerves, and we understand that your assessment is no different. Assessments are two-hour appointments that allow our clinicians to get to know you, learn what services could benefit you, and provide you with a recommendation for treatment.
Prior to your assessment, you will need to fill out your new client paperwork in the client portal. This will allow your assessment to start on time and prevent any delays. Upon your arrival you will check in at the front desk. They will confirm that you have completed your paperwork and collect your payment. You will then complete a breathalyzer test and provide a urine screening. Once complete, you will meet with your clinician for a comprehensive intake, after which you will have a brief break before receiving your recommendation for treatment.
Once the recommendation is accepted you will be scheduled for your orientation appointment and provided with your start date. Start dates for treatment are determined between the clinician and the client at the time of the recommendation being accepted but must fall within two weeks of the assessment. If the start date is later than one week from the assessment a brief reassessment must be completed before starting treatment. If the client is unable to start within two weeks of the initial assessment, a new assessment must be conducted.
No, you are not required to accept your treatment recommendation. If you decline the provided recommendation, Conscious Healing may not be able to offer a different level of care based on our clinical judgment, however, all treatment requires full consent of the client, which allows you to decline the recommendation if you wish. If you decline the recommendation we will provide you with alternative resources if we are not able to provide you with the level of care in which you are interested.
We know that taking the first step to treatment can be difficult and require some additional support. As such, we welcome referrals from friends, family, or community partners! To refer someone to our program you can call the front desk at 540-402-1199 ext. 6000. Prior to scheduling an assessment, we do require a conversation with the individual that is being referred in order to confirm consent, complete a phone screen, and set up their appointment based on their schedule. If the individual being referred is currently in treatment, we can complete the intake with a case manager or other designated representative as long as a release of information is provided and a copy of their medical records is sent prior to the scheduled assessment date.
Conscious Healing follows a strict privacy policy for all individuals currently or previously under our care. In order to obtain any information regarding a client, we must have a signed release of information form on file, and the ROI must specify consent to release the specific information you are requesting. If we do not have a release of information on file we can not confirm or deny an individual’s presence in our facility.

For providers: Medical record requests can be faxed to 540-402-1677. All medical record requests must include a release of information for all requested documentation. Certain medical record requests carry an associated processing fee. This fee must be paid before the records will be released. Our staff will review the request and respond accordingly.
For clients: If you are interested in obtaining copies of your medical records, please contact your primary clinician to discuss the documentation needed.

For assessments: To cancel or reschedule your assessment, please call the front desk at 540-402-1199, ext. 6000. Please review our Cancellation Policy in advance of contacting our office.
For individual or group sessions: If you need to cancel or reschedule an appointment outside of the necessary 24 hour window you may contact the front desk to do so. If you need to cancel or reschedule an appointment within the 24 hour window you must contact your primary clinician directly by phone or email. Your primary clinician or the Clinical Director must approve a late cancelation for it to be excused. Please review our Cancellation Policy prior to contacting our office.
Conscious Healing is able to work with most insurance providers on either an in-network or out-of-network basis. Due to our licensing and insurance credentialing process, the services that are billed to insurance may vary, and our ability to participate as an in-network provider may also vary. Please see our intake process and financial information page for more details. You may also contact us by phone, or submit an insurance verification request for more information about your specific policy.
Please note: At this time, assessments are NOT billed through insurance, and require payment at the time of service. Upon request, Conscious Healing can provide clients with a superbill for their assessment cost, which the client can submit to their insurance provider to request reimbursement. Superbills are not available at the time of service due to the requirements outlined by insurance providers for inclusion on superbills. We hope to soon be able to use insurance for initial assessments and will provide updates as they are available.
Superbills serve as detailed receipts that clients may present to their insurance companies to seek reimbursement for services rendered. If you’ve received non-billable services from us, you can request a superbill for potential reimbursement from your insurance provider. Please note that superbills cannot be issued at the time of service, as they require additional information beyond a standard receipt. Consequently, they are available only upon request.
At Conscious Healing, superbills are provided solely upon request and are not issued as a routine practice. Upon request, superbills are generated for periods where four or more appointments have been attended. Clients may request one complimentary superbill per month, provided it meets the appointment threshold. However, additional or non-standard requests, such as quarterly or yearly superbills, will incur a fee as outlined in our written correspondence policy.
Conscious Healing collects specimens at our facility and partners with Millennium Health for definitive testing. For more information about Millennium Health, please visit their website at www.millenniumhealth.com
Conscious Healing does not charge a fee for preliminary drug and alcohol screening or for the breathalyzer testing conducted on-site. We do send all specimens to the lab for definitive testing, and Millennium Health manages the billing for the definitive testing. They are in network with most insurances and the cost will vary based on your specific policy. If you would like to learn more about your associated cost for definitive testing, please contact the Millennium Health billing department to request information about your copayment, coinsurance, or the rate for individuals with no insurance, or who are choosing not to use insurance.
Our team is fully prepared to stand by your side as you navigate through your legal challenges. We’re happy to assist you by composing court letters according to your requirements. To facilitate this process, we kindly ask that you submit your letter requests at least seven business days in advance. This timeline ensures that we have ample time to gather all relevant documentation and draft a letter that is tailored to your needs. Requests should be submitted to our front desk staff, or to your primary clinician. For additional information and access to the request form, please review our Written Correspondence Policy.
We are happy to support you during your time of need. Our clinicians do not attend court proceedings, however, our Client Care Coordinator can attend with you to provide moral support. Requests must be placed a minimum of two weeks in advance to allow for schedule modifications as needed.
This service is not billable to insurance, and a rate of $150 per hour applies to all time spent in court (including travel time), as well as to any preparation time, including coordination meetings, needed in advance of your court date. Additional documentation fees or testimony fees may apply if required as part of their appearance. A 50% deposit is due one week from the court appearance with the remaining balance payable within 15 days of the appearance. If advance preparation is necessary but the Client Care Coordinator’s attendance is no longer required, a refund will be provided less the time already spent, and any fees or wages that are unable to be recuperated. No refund will be provided if the cancellation is made within 24 hours of the scheduled appearance.
